Registration

All attendees must register and receive a conference badge in order to participate in conference activities. Please note that online registration is available up to June 30, 2024 (UTC). After this date, you will need to register at the on-site registration desks at the convention venue starting July 6.

 

Authors Registration Policy

The following author’s registration policy applies.

  • At least one author per accepted paper must register and pay a Full Rate registration fee.

  • A single Full Rate registration covers up to three papers in which the registrant appears in the authors list.

  • An IEEE or Information Theory Society Life member registration covers a single (one) paper in which the registrant appears in the authors list.

 

Please note: As described in the submission guidelines, ISIT 2024 requires that all papers be presented in person during the conference.

All rates are listed in US Dollars and Include 24% VAT. The charge will be in US Dollars. You may want to use a currency converter such as this one.

  • Access to the registration platform: Use the registration platform to register for the conference; you can add additional items at any time until June 30, 2024. If you have already registered, you can add items to your existing registration record by signing in with your confirmation number and password.

  • Membership rates: The membership status must be confirmed with a valid membership number given at the time of registration. In case of an incorrect membership status, the full non-member registration fees will apply.

  • Workshop registration fees include: A chosen workshop on Sunday, July 7, will include coffee breaks, lunch, and the Sunday reception. When registering for a workshop, you will be requested to register for the workshop you plan to attend.

  • Tutorial registration fees include: Chosen Tutorial(s) on Sunday, July 7, as per the rate selected (morning and/or afternoon tutorials), will include coffee break(s), lunch, and the Sunday reception. When registering for the tutorial(s), you will be requested to indicate which tutorial(s) you plan to attend in the morning and/or afternoon. You will have access only to the tutorial(s) you have registered for.

  • Badge distribution policy: Badges will be handed out to non-attendees only with appropriate authorization by the conference attendee or presenter.

  • Payment methods: Credit card or wire transfer. For credit card payments, please be aware that 3D Secure (3DS) authentication will be required during credit card payments. Please ensure that the credit card you use supports 3DS authentication to avoid payment issues. Attendees not using credit cards must make a wire transfer to ISIT 2024 for the total registration amount in US Dollars. Payment is due upon registration; be sure to initiate the wire transfer immediately after completing the online registration. A $20 USD handling fee will be applied to each wire transfer.

  • Cancellation and refund policy: Before May 27, 2024, a processing fee of $50 US Dollars will be charged; No Refunds will be given after May 27, 2024. All cancellation and refund requests must be made by email to [email protected] (received by May 27, 2024).

*Participation in Sunday’s reception on July 7 is complimentary for tutorial and workshop attendees. Other attendees can purchase an additional ticket to attend, as noted above.

**Excursions can only be purchased via the contracted local travel agent and are not part of the conference registration platform.

 

IT Society and Social Events

During ISIT 2024, the IT Society has scheduled several events that are open to all attendees but require registration so that catering can be arranged appropriately. Seats for some of these events are limited and will be available on a first-come, first-served basis.

Eating restrictions: During registration, please indicate your dietary restrictions. All food functions will have vegetarian items. We are striving to provide diverse culinary options; however, we may not be able to meet your dietary restrictions.

 

Non-Presented Paper (No-Show) Policy: Any accepted paper included in the final program is expected to have at least one author or qualified proxy attend and present the paper at the conference. If a paper is not presented at the conference, the paper will not be published by IEEE on IEEE Xplore® or other public access forums, but these papers will be distributed to conference attendees as conference proceedings and the copyright of these papers will belong to IEEE.

 

Qualified Proxy Policy: The presentation of papers by substitutes is highly discouraged and may only be made after permission is granted by the Technical Program Co-Chairs of the conference based on solid evidence that none of the authors is available to present. Papers presented by substitutes without permission will be considered as no-shows.

 

Authors with Travel Restrictions Policy: Authors who anticipate an inability to travel to the conference because of a government-imposed travel restriction must notify the Technical Program Chairs of the conference with proof of their restriction. Each case will be individually reviewed and options will be explored depending on conference resources.

 

Visa Letters
 
Acquiring a visa can take more than two months.  Attendees needing visas are strongly encouraged to start their process as soon as possible. Note that registration fees will not be refunded due to a missing visa.
 
Authors: Authors can request an invitation letter here.

Non Authors: Visa letters for non-authors will only be issued to registered participants who have paid in full their registration fee. Participants needing a visa to enter Greece are responsible for obtaining appropriate visas for the conference.

A visa to enter Greece is waived for participants coming from a Schengen Zone country. An identity card or a passport is required to pass through airport control or border entry. Citizens coming from countries that have not yet joined the Schengen Zone may require a Visa to enter Greece. In this case, the individual is solely responsible for obtaining a timely visa from the Greek Embassies/Consulates in their country. This process can take up to two months or even more; Greece is a popular destination during the summer months, so plan ahead of time. Depending on the country you are coming from, you may find out whether you need a visa on the Greek Ministry of Foreign Affairs site. Please note that the Conference cannot contact or intervene with any Embassy or Consulate office abroad on your behalf, so please begin your visa application process as soon as you determine that you want to attend the IEEE ISIT 2024.

Note: During your stay in Greece, if you require a Visa, you are advised to have suitable insurance coverage for emergency medical or other needs.

 

Student volunteers

As a student registrant of ISIT, are you interested in helping us run a better conference? We are seeking volunteers to work at least two 3-hour shifts to help with the technical program. Α complimentary ISIT 2024 t-shirt will be offered to each volunteer. There is no guarantee that you will be contacted to be a volunteer.

  • If, after having registered, an author or co-author of a paper is unexpectedly NOT available to present the paper at the conference due to, e.g., a visa issue, please contact TPC chairs via [email protected] and we will try to find a solution on a case-to-case basis.
